- Details of each item can be downloaded by clicking on the Serial Number of the specific procurement item. The EIN is the username and a 4-digit Access Token issued to you is the Passcode.
STEPS YOU MUST FOLLOW
- If the applying entity is a limited liability company, co-operative or community society: Each Managing Director or Chief Executive Officer and one shareholder or director must have Global Identification Number (GIN) issued by the Federated Co-Operative Multi-Purpose Society Ltd with full membership status. If the applicant is a sole proprietor, the Beneficial Owner or Managing Director must have Global Identification Number (GIN) issued by the Federated Co-Operative Multi-Purpose Society Ltd with full membership status.
Persons who do not have the GIN may apply for the GIN at https://federatedsocieties.com or https://member.societiesbank.com. The terms and conditions of obtaining and use of the GIN are provided by the Federated Co-Operative Multi-Purpose Society Ltd.
- The applying entity will use the GIN issued to its owners and officers to obtain an Entity Identification Number (EIN) at https://federatedsocieties.com or https://member.societiesbank.com, and upgrade to “Member” status. The “Member” status automatically pre-qualifies the entity as eligible service provider.
No enquiries or requests will be attended to without an EIN or GIN. Interested bidders who do not have EIN and choose to contact Ghana Fund by email will be charged GH¢100 per e-mail or single enquiry. This will include the initial email making the enquiry and any follow-up e-mails relating directly to the same enquiry. Payment for e-mail services can be made using your debit or prepaid card. Enquiries made by phone will automatically be charged GH¢1.00 per minute.
- Interested bidders who have EIN should send an e-mail to contractors@ghana-fund.com requesting for Statement of Commitment Form or complete the form Request to Download Statement of Commitment.
- Download the Statement of Commitment, Complete and append signature and duly notarised indicating your commitment to strict adherence to time-lines, delivery of goods and services at the highest quality, and to strictly observe the practice of not inducing or paying bribes to staff of the Ghana Fund and staff of any organisation participating in Ghana Fund projects. One Statement of Commitment sufficiently caters for all Contract Lots.
- Make a payment of Twenty-Five Thousand US Dollars (US$25,000) or the equivalent in Ghanaian Cedis Processing Fee per Contract Lot by SWIFT or Telegraphic Transfer.
Various payments options are available depending on the category of bid. However, all bidders must pay the initial NON-REFUNDABLE DEPOSIT OF US$5,000 at this stage. The balance of US$20,000 shall be paid fully or in the approved instalments.
- Present evidence of payment of Processing Fee along with the Application for Memorandum of Agreement on the prescribed form.
- Execute a Memorandum of Agreement available from the Ghana Fund. Memorandum of Agreement shall be executed within fourteen (14) days from the date of receipt of Application for Memorandum of Agreement.
- Submit an electronic bid in a Single Stage One Envelope.
- If the Processing Fee is being paid in instalments, all of the remaining sum must be paid at this stage to validate the bid. Payments which are not made within sixty (60) days of making the first payment or the initial deposit render the application invalid and useless.
- Bids are opened on rolling-basis (That is, immediately upon or in sequence of receipt of bid.) The bidder may be invited to a meeting to discuss and/or negotiate any component of the bid including pricing, and upon reaching agreement, execute the final Contract document.
Depending on the bid category, 5 to 10 bidders (at the discretion of Ghana Fund) will together meet with Ghana Fund to negotiate and agree on the benchmark contract sum and any other provisions. The outcome will apply to all lots of similar nature or item.
- The Contract Documents shall be executed upon the submission of a Performance Bond.
IMPORTANT NOTICE
- ANY APPLICANT THAT ATTEMPTS TO GAIN AN UNFAIR ADVANTAGE BY ANY OF THE MEANS NOT APPROVED BY THE GHANA FUND INCLUDING INDUCEMENTS, BRIBERY, ENGAGEMENTS WITH STAFF OF GHANA FUND PRIOR TO SELECTION MEETINGS, MANIPULATIONS, ETC. WILL BE DIS-QUALIFIED FROM THE PROCESS OR IF ALREADY AWARDED, THE AWARD SHALL BE WITHDRAWN.
- ALL BIDS MUST BE SUBMITTED ONLINE BEFORE 28TH MARCH 2025, HOWEVER, LATE SUBMISSIONS AND/OR BIDS RECEIVED AFTER THE OPTIMUM NUMBER OF CONTRACT AWARDS IS REACHED WITHIN THE PERIOD ALLOWED FOR SUBMISSION WILL BE DISCARDED.
